How to submit a ticket

A clear ticket helps us understand what happened, reproduce the issue and send it to the right person sooner. You do not need to use technical language. Please describe the issue in your own words and include the details requested below.

What makes a ticket useful?

The most helpful tickets explain the difference between what you expected to happen and what actually happened. Please include the page or property involved, the exact URL, the steps you took, and a screenshot where possible.

Our aim is to help, not to catch anyone out.

Providing more context helps us triage the ticket correctly, understand the issue from your point of view and ultimately fix it more quickly.

What information should I include?

A short, specific subject

Describe the problem in a few words. For example: “Property photos are not appearing on the listing page” is more useful than “Website issue”.

The exact URL

Copy the full address from your browser’s address bar and paste it into the ticket. Include the URL for the page where the problem occurred, not only the website homepage.

Example: https://your-website.example/property/12-main-street

What you were trying to do

Explain the task you were completing, such as uploading photographs, editing a property, publishing a listing, changing a price or submitting an enquiry form.

The steps you took

List the actions in order. Numbered steps are ideal:

  1. Opened the property record.
  2. Selected the photo gallery.
  3. Uploaded three images.
  4. Clicked “Save”.
  5. Returned to the public listing.

Expected behaviour

Tell us what you expected to happen. For example: “After saving, I expected the three images to appear in the property gallery.”

Actual behaviour

Tell us what happened instead. For example: “The images appeared in the editing screen but were missing from the public listing.”

A screenshot

Attach a screenshot showing the problem, error message, missing information or unexpected result. If the issue occurs after several steps, screenshots of the relevant steps can also help.

How often it happens

Tell us whether the issue happens every time, occasionally, only for one property or for several properties. If it worked previously, tell us when you first noticed the change.

How do I copy the correct URL?

  1. Open the page where the issue is happening.
  2. Click once in the browser address bar at the top of the screen.
  3. Copy the complete address. On Windows, use Ctrl + C. On Mac, use Command + C.
  4. Paste the address into the ticket description. On Windows, use Ctrl + V. On Mac, use Command + V.

Please do not replace the address with a general description such as “the property page” or “the listings section”. The exact URL helps us investigate the correct page.

How should I provide a screenshot?

A screenshot should show enough of the screen for us to understand the problem. Where possible, include the browser address bar or paste the URL separately in the ticket.

Include

  • The error message or unexpected result.
  • The relevant property reference, page heading or record name.
  • The part of the screen where the issue occurred.
  • Annotations or a short note pointing to the problem, if helpful.

Check before sending

  • Make sure the screenshot is readable.
  • Attach the original image rather than a heavily cropped version where possible.
  • Remove passwords, payment details, private contact information or other sensitive data.
  • If several screenshots are attached, describe what each one shows.

If the issue cannot be shown in one screenshot, attach a small sequence and label it clearly, such as Step 1, Step 2 and Result.

How should I explain expected and actual behaviour?

Expected

“I expected the updated asking price to appear on the public property page after I saved the record.”

Actual

“The new price is visible in the administration area, but the old price is still shown on the public page.”

This comparison is especially useful because the system may be working differently from the way you expect. Explaining both sides helps us determine whether there is a fault, a setting that needs changing, a delay, or a step that has been missed.

What if the system is working differently from what I expected?

Please describe the difference politely and clearly. You do not need to decide whether it is a technical fault before submitting the ticket.

For example, you could write:

“I expected the property to be visible immediately after publishing. It is not visible yet, so I would like to check whether I have missed a step or whether there is a delay.”

This wording gives us room to investigate what the system is designed to do, what actually happened and whether a change or explanation is needed.

What other context may help?

  • The property address or internal property reference.
  • The name of the user who experienced the problem, if relevant.
  • The browser and device being used, such as Chrome on a Windows laptop or Safari on an iPhone.
  • Whether another user can reproduce the issue.
  • Whether the issue affects one property, a group of properties or the whole website.
  • Whether anything changed shortly before the issue began.
  • Whether the issue is preventing work completely or is an inconvenience with a workaround.
  • Any error message, including the exact wording where possible.

How urgent is the ticket?

Please explain the business impact rather than only marking a ticket as urgent. For example:

  • Blocked: “I cannot publish or update any properties.”
  • High impact: “The issue affects all new listings being added today.”
  • Limited impact: “The issue affects one property, but I can continue using the rest of the system.”
  • Question: “I am unsure how this feature is intended to work and would appreciate guidance.”

What should I avoid including?

  • Passwords or login codes.
  • Full payment-card details or financial information.
  • Private personal information that is not needed to investigate the issue.
  • Several unrelated problems in one ticket. Please submit separate tickets so each issue can be tracked properly.
  • Only “it does not work” without the URL, steps or explanation of the result.

You can use the following structure when submitting a ticket:
